Job Description

We are currently recruiting for an Administrative Assistant in the legal department. We are seeking a qualified, dynamic and dedicated individual to join our team and contribute to the success of our company.


Main responsibilities

  • Provide support for public disclosure documents
  • Review and lay out various documents, along with occasional proofreading
  • Manage data entry for compliance purposes
  • Support legal team with project management
  • Manage agenda, coordinate meetings and prepare all related documentation
  • Make travel arrangements, prepare itineraries, prepare expense accounts and process invoices
  • Manage and follow up on calls, emails and mail and maintain contact database


Requirements

  • Undergraduate degree in any related field and/or secretarial or college diploma
  • 2-5 years of experience or more as an administrative assistant, ideally within a law firm or legal department of a large public company
  • Excellent working knowledge of MS Office
  • Bilingual (French and English), spoken and written, with excellent communications skills
  • Very discrete, tactful and capable of dealing with sensitive and confidential matters
  • Proven ability to work under pressure and manage time and priorities in order to meet deadlines
  • Must be very efficient and organized
  • Must be detail oriented
  • Must demonstrate initiative and be proactive, able to adapt quickly to change, be flexible
  • Should have strong interpersonal skills and be a good team player, be willing to assist other assistants in the organization
  • Should possess sound judgment and common sense
  • Professional, calm, positive and poised attitude
