Job Description

We are currently recruiting for an Administrative Assistant for the Legal Department. We are seeking a qualified, dynamic and dedicated individual to join our team and contribute to the success of our company.


Main responsibilities

  • Provide support for public disclosure documents
  • Draft, review and lay out various documents, along with occasional translation and proofreading
  • Manage data entry for compliance purposes
  • Support legal team with project management
  • Manage agenda, coordinate meetings and prepare all related documentation
  • Make travel arrangements, prepare itineraries and expense accounts, and process invoices
  • Manage and follow up on calls, emails and mail, and maintain contact database
  • Perform various other administrative duties

Requirements

  • Undergraduate degree in any related field and/or secretarial or college diploma
  • 5-7 years of experience as a corporate legal assistant or executive assistant, ideally within a law firm or legal department of a large public company
  • Very discrete, tactful and capable of dealing with sensitive and confidential matters
  • Must be able to manage stress well during period of intense activity 
  • Must be very efficient, organized, disciplined and detail oriented 
  • Must demonstrate initiative and be proactive, able to adapt quickly to change, be flexible
  • Should have strong interpersonal skills and be a good team player 
  • Should possess sound judgment and common sense
  • Should be available to travel occasionally for Board and committee meetings 

Skills

  • Excellent working knowledge of MS Office
  • Fluent in French and English, written and spoken
